Bookings & Prices

We do our best to provide accurate and up-to-date information on our website, but errors may occur. Please confirm pricing and details with us prior to making a booking.

By making travel bookings on our website or with one of our agents, or otherwise purchasing any travel services offered by Friendly Planet, you warrant that:

Booking on Behalf of Others

If you make a booking for anyone other than yourself, you are considered the designated contact person for those other travelers. You represent and warrant that you are legally authorized to act on their behalf; that you have obtained all required consents; and that you will inform them of these Terms and warrant that they accept and agree to them.

Registration

After you complete your booking, we'll send you an email containing a link to a secure traveler registration form. For most packages, you must complete this form within 5 days of booking.

Confirmation

After we receive your booking and deposit, we will confirm availability of all components and send you a confirmation email within 1–2 business days.

Payments, Refunds & Credits

Payments

Deposits: To secure your Tour Only booking, a deposit—paid via one of our accepted payment methods—is required and will be applied toward your package cost. If your departure date is within 60 days of booking, full payment is required.

Changes

Changes to bookings are subject to availability and may incur additional charges. Please contact us promptly if changes are necessary.

Carefree Booking

The Carefree Booking policy applies exclusively to new bookings that do not use funds from previously canceled reservations. This policy is limited to your original booking, allowing only one rebooking. Subsequent bookings will follow standard cancellation policies, and discounts or coupons from the canceled booking will not transfer to the new one.

Cancellations

Cancellations by You

If you choose to cancel your booking, you must notify us in writing. Unless covered by our Carefree Booking policy, cancellations are subject to fees that vary based on your booking date, cancellation date, and package. These fees are outlined in the cancellation schedule effective at the time of your booking. The applicable schedule can be found under "Your Booking" or attached to your booking receipt email.

Upon cancellation, we will refund all payments made, minus:

When you request a cancellation, we will calculate and inform you of the total fees and any refundable amount. In some cases, part of the cancellation fee may be converted into a Travel Credit, which does not expire and can be applied to any future booking.

If you booked for multiple travelers, one or more travelers may cancel while allowing others to continue. Cancellation fees will only apply to the canceling travelers. However, if the change results in a double occupancy room or cabin being converted to single occupancy, the remaining traveler(s) must cover the single occupancy rate. In some instances, a new traveler may replace a canceled traveler, subject to a name change fee and any applicable airline or vendor charges for issued flight tickets.

Unused Services: No refunds are provided for unused services after the trip begins, including missed portions of the itinerary.

Itineraries

Itinerary Policy

We make every effort to ensure our tours and packages run smoothly and adhere to the posted itineraries. However, international travel is complex, and we reserve the right to modify itineraries as necessary to maintain comfort and functionality. Please refer to the latest version of your itinerary on our website prior to travel, which we will also send at least 14 days before departure. The planned itinerary represents the types of accommodations, transport, and activities planned, but the actual itinerary—including routes, schedules, amenities, modes of transport, and other items—may be subject to changes or substitutions without prior notice due to ground conditions or recommendations from our destination partners. In such cases, we will strive to ensure the changes result in an equivalent or better experience for our travelers. We are not liable for damages related to these alterations.

In rare circumstances beyond our control (see "Force Majeure" below), it may become necessary to make major changes to itineraries, such as omitting certain destinations or segments (e.g., a cruise) or even canceling a departure. Should this occur, we will notify you as soon as reasonably possible and make every effort to secure refunds from suppliers for unused services, which we will pass on to you. However, we cannot guarantee refunds for all services (especially ticketed flights) or for the full package price. See our Refund policy for details.

Force Majeure

Unexpected circumstances, such as weather events, pandemics, quarantines, border closures, acts of governments or authorities, wars, hostilities, political uprisings, riots, strikes, terrorist activities or threats, criminal acts by third parties, vehicle defects, equipment breakdowns, or Acts of God, may arise and disrupt services. These are considered force majeure events. We are not responsible or liable for any consequences of such events, including death, bodily injury, illness, damages, delays, or other losses. While we will strive to assist travelers during these events, any losses or costs resulting will remain the traveler’s responsibility.

Third Party Suppliers

Riq to Link Tours and Travels arranges services with airlines, cruise lines, hotels, coach companies, transfer operators, shore excursion operators, local guides, and other independent parties ("Third Party Suppliers"). These suppliers may further engage local operators and sub-contractors. While we carefully select Third Party Suppliers, we do not supervise or control them and cannot be responsible for their actions or omissions.

In the absence of our negligence, we are not responsible for cancellations, delays, diversions, equipment substitutions, baggage loss or damage, injuries, illnesses, deaths, or any claims resulting from acts, omissions, errors, or negligence by Third Party Suppliers. Air carriers, rail, coach, and ship companies are not responsible for acts or events occurring outside their conveyances. We are also not responsible for criminal conduct by third parties.

The international carriage of passengers is governed by international conventions and treaties, which may limit or exclude carrier liability. Where claims involve travel arrangements or stays provided by carriers or hotels, our maximum liability is the amount payable under the applicable international convention, treaty, or regulation (e.g., the Warsaw or Montreal Conventions for air travel).

Participation

Joining a Tour

For packages including flights or transfers, ensure you make necessary arrangements to embark on time. If you miss them, contact us immediately. For "Tour Only" packages, you are responsible for reaching the starting point, typically the first hotel. If delayed, contact us for assistance, though extra costs are your responsibility, and no refunds are provided for unused services.

Tour Managers

Our professional tour managers ensure safety and smooth operation. Their decisions are final regarding traveler wellbeing. Failure to comply may result in removal from the tour without refund.

Group Participation

Group tours involve traveling with others, which can be challenging. We reserve the right to remove travelers causing danger, distress, or disruption. No refunds or future bookings will be granted in such cases.

Age Requirements

Travelers must be 18 or older to book and 8 or older to join, unless stated otherwise. Minors must be accompanied by an adult aged 21 or older, who is responsible for their supervision and legal compliance.

Travelers with Disabilities or Difficulties

Notify us of special assistance needs during booking. While we strive to accommodate, some disabilities may not be supported due to the nature of our itineraries. Travelers needing personal assistance must bring a qualified companion. Participation requires physical and mental readiness for itinerary demands.

Acceptance of Risk

Travel involves inherent risks, especially in remote destinations or adventurous activities. By booking, you accept these risks and agree to follow all safety guidelines. Friendly Planet is not liable for injuries, losses, or claims resulting from inherent travel risks or failure to comply with safety instructions.

Emergency Medical Treatment

In a medical emergency where you cannot consent, we may authorize treatment on your behalf if contacting your emergency contact is not feasible. You agree not to hold us liable for such decisions.

Baggage & Personal Effects

Tour packages typically allow one checked bag (44 lbs max), one carry-on, and one personal item. Specific limits will be provided before departure. You are responsible for safeguarding personal items; we are not liable for loss or theft.

Local Purchases

Any purchases made during the tour are your responsibility. Inspect items thoroughly as returns or exchanges are typically not permitted. We are not responsible for delivery or authenticity of items purchased.

Local Laws

Comply with all local laws during travel. Illegal activities may lead to removal from the tour and penalties, for which we are not responsible.

Passports, Visas & Entry Requirements

We provide guidance for Kenyan citizens on entry requirements for destinations we offer. Travelers with passports from other countries must verify the passport, visa, and entry requirements relevant to them. As requirements often change without notice, it’s crucial to confirm with the respective embassy or consulate. Ultimately, each traveler is responsible for securing necessary travel documents, meeting all entry requirements, and covering any associated Entry & Exit Fees. We are not liable for interruptions, cancellations, or expenses due to non-compliance.

Passports

A valid passport is required for international travel. Kenyan travelers should ensure their passports are valid for at least six months beyond the return date and contain sufficient blank visa pages. Failure to meet these criteria could result in denied entry. Passport details, including exact names and titles, must match those provided during booking to avoid travel disruptions. Corrections made after booking could incur additional costs. For some packages, color copies of passport photo/signature pages must be submitted within 5 days of booking or with final payment.

Travel Visas & Other Documents

Many destinations require travel visas. Some may also require proof of immunization or additional documentation for minors traveling without parents or with parents of different surnames. We provide visa instructions for Kenyan citizens upon booking as a courtesy. Travelers with other passports must independently determine their visa requirements.

Entry & Exit Fees

Certain countries, airports, or ports charge entry or exit fees payable directly by travelers. These fees are not included in our package prices and may require payment in cash or by credit card, depending on the destination. While we strive to inform you of such fees in advance, omissions or errors may occur, and we cannot be held responsible.

When you book with us or interact through our website (www..com), newsletter, catalog requests, or other channels, we collect certain personal information as outlined in our Privacy Policy. By using our services or submitting personal information, you accept our Privacy Policy and agree to its terms.

Required Information

To process your booking, we require specific personal details, including full legal names, gender, birthdate, passport information, and contact information for all travelers. The primary booker must also provide their address, phone number, and email. Additionally, we request contact details for all other travelers (excluding minors and family members sharing the same address) to ensure smooth communication in emergencies or last-minute changes. An emergency contact name and details for each traveler must also be provided. It is your responsibility to ensure all submitted information is complete and accurate. We are not liable for any errors, omissions, or related costs arising from incorrect or incomplete information.

Images & Marketing

During your travels with us, photos or videos may be taken by us, our team, contractors, or fellow participants, which might feature you. By participating, you grant us and our partners a perpetual, royalty-free, worldwide license to use these images for marketing, promotions, and creating promotional materials in any format, existing or future, without further obligation or compensation to you.

Miscellaneous

These Terms form the complete agreement between travelers and Riq to Link Tours and Travel, with no additional liabilities implied. If any section of these Terms is deemed too broad or unenforceable, it will be adjusted only to the extent necessary to make it valid. The invalidity of one clause does not affect the enforceability of the remaining provisions.

These Terms apply to and benefit all parties, including their heirs, legal representatives, successors, and assigns. Should any third party pursue claims for issues you have released us from, you (or your estate) agree to indemnify Nairus Tours and Travel for related costs, including reasonable legal fees.

All purchases and agreements with Riq to Link Tours and Travel are governed by the laws of Kenya. Any disputes will be resolved exclusively within the courts of Kenya.

We reserve the right to modify these Terms at any time. Updates will take effect immediately upon posting on our website (https://www..com/terms-conditions/).

At our sole discretion, we reserve the right to deny access to our website or the products and services we offer at any time and for any reason.
